Your Mindspace is committed to protecting your privacy while using our site. If you fill in your personal information this will only be used in accordance with this privacy statement. We may amend this policy accordingly and this shall be shown on this page. If we have your details on our mailing list you shall be informed if there are any updates. This policy is effective from 1st February 2025.
Information
We collect various information from you when you fill in our contact forms. We use this information to process your queries and bookings with us. We will retain this information for booking and administration purposes only. This information is used to facilitate your relationship with Your Mindspace, and we may email or call you as agreed in relation to your appointments. We additionally collect information from your completion of mailings sign up and forms. You will receive an electronic email when it's relevant to your needs. You will only be added to our mailing list if you confirm this is what you wish to do via opt in. Our electronic mailing list is stored within GDPR compliance regulations.
Your Mindspace may send you information about groups, courses, newsletters and events that may be of interest to you. We will never share your information with Third parties. Please contact Dr Marie Robinson with any questions or requests about the personal information we process.
Your Client Rights
We are committed to protecting your rights to privacy. They include:
• Right to be informed about what we do with your personal data;
• Right to have a copy of all the personal information we process about you;
• Right to rectification of any inaccurate data we process, and to add to the information we hold about you if it is incomplete
• Right to be forgotten and your personal data destroyed
• Right to restrict the processing of your personal data
• Right to object to the processing we carry out based on our legitimate interest.
Retention Period
We will only store your personal information for as long as it is required.
Some personal data is retained, where necessary, for seven years in compliance with our professional guidelines, accountancy and indemnity obligations. For therapy cases, this personal data might include referral information and therapy records. For assessment cases, this might include psychometric questionnaires, data and reports.
Where it is not necessary to retain personal data, this is destroyed at the end of assessment/therapy for such cases.
Administrative data is retained for up to seven years as necessary, in the event there are queries from HMRC. Where it is not necessary to retain the data for seven years, it is destroyed as soon as possible.
Online Payment
Whilst making an online payment your personal details will be passed to our card processing company who collect your card details securely. This stores data temporarily on its hard disks for operational reasons only. There are no circumstances under which they would pass on customer data to anyone other than your Mindspace. The card processing company is responsible for collecting your details securely and processing the payments. At no time will your personal payment info be stored.
Cookies
A cookie is a small file that is automatically stored on your computer's hard drive, with your permission. We use cookies to analyse web traffic to our sites and to analyse which pages are being visited. This helps us improve our website. We only use this information for statistical purposes.
Cookies do not provide us with access to your computer or any information about you, other than the data you choose to share with us.You can choose to accept or decline cookies, although most web browsers will automatically accept cookies. You can however modify your browser setting to decline cookies if you prefer, but you may not get the full benefit of our sites if you do this.
Google Analytics and Adwords
We use Google Adwords to place adverts about our services on the web. When you complete a contact form via a Google Adwords link the information you enter will be treated in the same way as if you are completing our website contact form, however you should be aware that information is gathered by Google and provided to us for statistical purposes. We will not receive any additional personal details about you other than the information you have chosen to provide on the form.Google Analytics are a very popular tool used to analyse sites usage and traffic, it helps us refine the site content and tailor it to meet user needs.
Online Therapy
If engaging in online therapy with we will not, under any circumstances, record any sessions without the explicit prior agreement of the client. Our practitioners may use several different online therapy platforms which are managed by external providers and may be based outside the UK.
